Office Administrator

Location: National NOW Action Center, 1100 H Street NW, Suite 300, Washington, D.C. (one block from Metro Center station - red, orange, blue, and silver lines; three blocks from Gallery Place / Chinatown station - green and yellow lines). This is an in-house, full-time position in our Washington D.C. office, so please be local to D.C. or willing to relocate.

The National Organization for Women (NOW) seeks an Office Administrator to oversee the organization’s internal procedures. This is a full-time, salaried position reporting to and directly supervised by the NOW President. Primary responsibilities include: Human resources services; management of HR vendors; management of office space, equipment and supplies; and oversight of financial record-keeping, reporting, auditing, and regulatory filings including state charitable registrations and federal and local tax return filings.

NOW is dedicated to intersectional grassroots activism to lead societal change, promote feminist ideals and eliminate discrimination. The organization’s advocacy encompasses six core issues (reproductive rights and justice; racial justice; economic justice; LGBTQIA civil and human rights; ending violence against women; and winning constitutional equality for women). Our 2017 national action program consists of five action campaigns:

  • Mobilizing for reproductive justice
  • Advancing voting rights
  • Ending the sex-abuse-to-prison pipeline (middle school / high school initiative)
  • Protecting immigrant women’s rights
  • Ratifying the Equal Rights Amendment

Duties

  • Manage vendors and administer HR services including payroll, health, life and disability benefits, retirement savings plan, and Metro benefits
  • Administer staff payroll and benefit enrollment, orientation and exit processes; coordinate office space changes in preparation of new hires, including staff online access; train new staff on phone and voicemail system
  • Maintain employee records and respond to reference requests
  • Review Employee Handbook with new staff; process complaints of employee handbook violations
  • Manage annual staff performance evaluation process, work with supervisors to address performance issues
  • Maintain and update financial procedures manual, employee handbook, and other similar documents to ensure adequate documentation of internal processes and procedures
  • Manage vendors providing regulatory filing services including state and municipal charitable registrations and state annual reports
  • Supervise the Senior Accounting Associate and oversee the accounting firm providing financial recording and reporting services
  • Oversee the annual audit process and preparation and filing of IRS and local tax returns
  • Manage contracts and inventories of office supplies, furniture, furnishings, equipment, computer and other IT assets
  • Supervise the Network Administrator including managing IT services such as internet, phone, printing, and webinar services.
  • Other duties as assigned by supervisor

Qualifications

  • Bachelor’s Degree in Business Administration or similar major
  • At least seven years of progressively responsible experience as an office manager or office administrator
  • Relevant experience in a nonprofit social justice advocacy environment is a plus
  • Proven experience in prioritizing and planning work activities, using time efficiently, and developing realistic action plans
  • Willingness to devote the time as needed to meet seasonal project and task deadlines
  • Sound knowledge of nonprofit administrative procedures and personnel management; experience writing and updating administrative/personnel policies and procedures manuals
  • Ability to work well with a wide array of diverse individuals across age, race, socio-economic ability, sexual orientation, gender identity and other lines
  • Supervisory experience in coaching, mentoring, and training staff
  • Knowledge of / interest in NOW’s purpose (taking action through intersectional grassroots activism for social change, feminist ideals, and ending discrimination)
  • Proficiency in Microsoft Office and Google Drive environments
